The Process
Everything from first knock to install and payout: the pipeline, who to call, where deals go, and how the money works.
Where is your deal?
Seven stages sit below this. You almost certainly need one of them, so pick it here and read only that.
The four lines that cover most of it
If you only remember one, remember the first. Anything deal-related starts there.
The Pipeline
Seven stages. The decisions you make at Demo and Signing determine who can help you later, so read the warnings.
Prospecting
- Build the list, knock doors, cold call, work referrals.
- Goal is one thing only: book the FTA.
FTA (First Time Appointment)
- Create a new Lead in Salesforce if one does not exist.
- Log the FTA in Salesforce as a TASK, not an Event.
- When the FTA happens, mark it Converted, which turns it into a Salesforce Opportunity.
- Discovery: business type, volume, current setup, pain points.
- Start figuring out which system fits (see Routing a Deal), because that decides whether a Dealer, SRM, or you alone runs the rest.
Demo
- Show the system that fits their vertical and volume.
- Closing it yourself (Genius for Retail Essentials/Advanced, terminal, handhelds)? You can compress FTA and Demo into one visit and close on the spot, no third party needed: FTA > Demo > logged in Salesforce > Atlas opp > boarding > signature. See the Quick Close Playbook.
- Selling any POS? Loop in the Dealer (POS Specialists or RSI), who will explain packages for Genius for Restaurants.
- Genius for Retail Complete? SRM must run it, so engage them now.

Signing
- Decide before you submit: referral (Dealer/SRM installs) or self-install. This locks in your comp split (see Money).
Atlas: Create Opportunity
- Salesforce first (Lead, FTA Task, Converted Opportunity), then create the opportunity in Atlas and move to boarding.
- Second location? Do NOT click Add Opportunity. Create a brand new opportunity using "Add New Business" with a new company name (e.g. "Business Name #2").
- Every location needs its own MID. Different MIDs can live under the same account.
Boarding & Underwriting
- White Glove (Opt 2) handles boarding and pre-InstallApp items: pending accounts, requests for additional info. You can call them, but only when needed.
- Account Pended? Underwriting manages Pends, but they often cannot tell you how to fix it. Ask White Glove or Sales Support for the how.
- Most pends are self-inflicted. Run the Pend Prevention checklist before submitting.
- Hyfin / ecomm follows a separate boarding process (see Ecomm). White Glove cannot help with it.
Install & Go Live
- Install team helps only if HSC was selected before the signed deal was submitted.
- Genius hardware or POS questions go to Genius: 866-646-7648.
- Referral deals: the Dealer or SRM installs, and your $500 pays on install, not at signing.
- Self-install (Genius for Retail Essentials/Advanced): you install, you keep 100%.

Routing a Deal: Which System, Who Runs It
Identify the system at FTA/Demo, because the system decides the channel.

Dealers & SRM
Use a Dealer for any POS sale. All Dealer and SRM hand-offs count as referrals under the Partners Together program.
POS Specialists
- Often free everything for merchants over $250k annual revenue
- No software fees
- Free equipment requires cash discount; they prefer 4% but can do 3%
RSI
- All free equipment on 4% cash discount
- 3% cash discount is NOT free with them
- Often have software fees
SRM
- Send at least 1 deal per month to them
- Use for complex Essentials/Advanced setups with lots of configuration
- Mandatory for Genius Complete
- Never for restaurants (use POS Specialists or RSI)
Atlas Rules That Bite
Multiple locations
- You cannot click Add Opportunity for a second location.
- Create a NEW opportunity with a new company name, e.g. "Joe's Pizza #2".
- Every location must have its own MID.
- Different MIDs can sit under the same account.
Installed By = HSC
- On the Boarding page under Orders, set Installed By to HSC, not RM.
- Must be done BEFORE submitting the signed deal.
- If skipped, the install team cannot help with the install at all.
Pend Prevention Checklist
Run this before submitting any signed deal. Most pends come from the application itself, not the merchant.
Application hygiene
- No white-out. Corrections get a single strike-through plus the signer's initials next to each revision.
- Owner's FULL legal name, no nicknames ("Robert" not "Bob"), because it must match Precise ID validation.
- DBA name must match the business signage; explain any difference in the Narrative.
- Use the real business phone as the DBA phone, never the merchant's cell.
- Sole props: the IRS reporting name is the owner's name, not the DBA, or IRS verification fails.
- Voided check is no longer required; the DDA passes through Atlas automatically.
Ownership & narrative
- List every owner with 25%+ equity and account for the remaining percentage in the Narrative.
- Narrative covers Who / What / When / Where / Why: ownership breakdown, what they sell, seasonality, home-based or P.O. Box explanations.
- Always disclose 50/50 referral splits in the Narrative.
Statements & credit
- UW runs a soft credit pull on every signer (no FICO impact). Ask upfront about credit freezes or fraud alerts, since both cause a pend. Freeze: signer calls Experian at 888-397-3742 to lift it.
- Processor statements must be consecutive, include an Interchange Summary, and show under 10% returns and under 0.75% chargebacks.
- No statements / no processing history means an automatic 5-day hold of funds (drops to 2 days if they have an existing Heartland location processing 6+ months).
- Be honest about future delivery (deposits, memberships, subscriptions). Claiming 0% FD when the website says otherwise is a classic self-inflicted pend.
Fraud red flags (report to MedHighRiskUnderwriting@e-hps.com)
- Urgency to set up, zero concern about pricing
- No hardware needed (virtual/CNP only), email-only contact
- Free or obscure email domain that does not match the business website
- Cannot recall own SSN or DOB; distorted/robotic voice; VoIP area code mismatch
- Unusually high average tickets; over-supplying documents nobody asked for
Cash Discount Rules at Signing
Know these before pitching, because the Atlas button greys out when the deal does not qualify.
Eligibility
- $50K minimum annual V/MC volume; net-new merchants only
- Flat rate 3-4%, same rate CP and CNP
- Daily Net settlement is auto-forced
- No PIN Debit, no EBT, no restricted MCCs (check the list)
- Cannot combine with Surcharge
- Greyed-out Cash Discount button in Atlas means one of the above is violated
Compliance & comp
- Shelf and menu prices must show the CARD price; never advertise cash-discounted prices. Merchant raises all prices by the CD% in the Admin Portal.
- "Pay with cash and save" signage is available and advisable.
- You can sell Cash Discount directly on Terminal+ / Register only. HRPOS Cash Discount must be referred to an SRM or Dealer (50/50 split).
- RM direct comp on CD: 100% toteboard margin, 50% upfront signing bonus, 15% residual.
- Under $50K volume? Low Volume Flat Rate instead: 2.6% + 10c CP / 2.9% + 30c CNP, one-time $250 + $550 tote credit, but no residuals or equity.
Ecomm / Hyfin: the Separate Track
Different boarding, different requirements, different support. White Glove cannot help here.
Boarding rules
- Retail + ecomm cannot be commingled: a merchant doing both needs TWO boarding packets and two separate MIDs (restaurants MCC 5812/5814 are the exception).
- Existing merchant adding ecomm needs a new packet only for the new method, but UW re-reviews the whole chain, which extends the timeline.
- Custom or 3rd-party gateways (NMI, Realex, BigCommerce) need the manual Gateway Setup form to securesubmitcert@e-hps.com; the Atlas Order tab only covers Secure Submit products.
Website requirements & go-live
- Site must show Privacy, Security, Refund/Return, Shipping, and Contact policies, a description of goods, and USD pricing before approval. Site under construction = pend unless you give a test URL and completion date.
- Missing policies after approval triggers a 30-day grace period; no fix means a funding hold until you send UW proof.
- After approval, API keys are emailed to the merchant, whose developer installs them to start accepting. The gateway contact must be the primary contact's direct email, no webmasters or generic inboxes.
Tote Board Status Definitions
The vocabulary your forecast lives and dies by.

Money: Referral vs Self-Install
Pick the path at signing. Genius for Retail Essentials/Advanced is where self-install pays off. Current bonus programs live on Incentives.
Hand off to Dealer or SRM
- Pays the month it installs, never at signing
- Requires good standing: quota met, no warnings
- You share 50% of residuals
- You share 50% of SAR
Genius for Retail Essentials / Advanced
- You install it yourself, you keep everything
- Monthly and quarterly MID incentives stack on top (see Incentives)
One system per number
- Xactly: commission numbers, payouts after monthly lockdown
- Atlas: Sales Reporting > SAR Performance; otherwise boarding only
- Salesforce: leads, FTA tasks, opportunities, pipeline
- Emburse (Certify): gas and mileage logging, expense reports
Gas reimbursement (RMs)
- RMs get up to $300 per month, gas only.
- Paid ONLY if you log it in Emburse Professional (Certify), so log trips as you go.
- Use the Mileage with Commute category: it reimburses incremental miles beyond your normal commute at the IRS standard rate (e.g. 100-mile round trip with a 20-mile commute pays 80 miles).
- A mileage log template lives in the expense reports folder.
Also reimbursable / not reimbursable
- Parking fees and tolls away from the office: yes, with documentation.
- Parking fines and speeding tickets: never.
- Commute to your normal office: no.
- Keep insurance on your personal vehicle current; that is on you, not the company.
